Employee Joining Kit Checklist
An employee joining kit fails for boring reasons: the logo file arrives late, the address list is a spreadsheet of first names, or the box is chosen after the bottle is already engraved. This checklist is the order of work we use with HR teams before a kit is made at the Sudhama Nagar workshop. It is not a ranking of kits. It is the list to finish before you approve a mockup.

Before you write to anyone
- Count the people, and split them by seniority if the kit changes by level.
- Set a budget per kit. Published bands on this site: entry ₹500–₹1,200, mid ₹1,500–₹3,000, leadership ₹3,000–₹5,000, inside a wider kit range of ₹250–₹10,000. Most companies spend ₹500–₹5,000. GST is 18% on top.
- Pick the date the kit must be in the hire’s hands, not the date you hope to approve artwork.
- Decide office drop or home addresses. A mixed list needs both.
- Send the logo as a vector if you have one. If you only have a PNG, say so.
The minimum order is 50 kits. Ready-stock items can go lower when the date is urgent. Standard production is 5–7 business days after artwork approval. An urgent kit from existing stock can dispatch in 2–3 days. There is no design fee for the mockup, which is ready within 24 hours.
Welcome kit or onboarding kit
A welcome kit is the day-one box: an A5 notebook and pen, an insulated steel bottle, a welcome card with the employee’s name, and a kraft or rigid box. That is the entry tier. Choose it when you want one unboxing and you do not need a laptop stand, a charger or a folio.
An onboarding kit is the fuller set for the first weeks. Mid level adds a vacuum-insulated tumbler, a tech accessory such as an organiser, and a rigid box with a branded sleeve. Leadership adds a vegan leather folio, a laser-engraved bottle, a wireless charger or earbuds, and a premium rigid box with ribbon. You can run two or three tiers in one order if the total is at least 50 kits. Each tier gets its own mockup. The invoice is still one GST invoice.

Packing and branding checks
- Rigid box with a magnetic closure, branded tissue, and an insert, if you want the unboxing to be deliberate. A poly bag will not do that job.
- Logo on the box lid by UV printing. Logo on steel, glass, wood or vegan leather by laser engraving, not a sticker.
- Name on the welcome card, spelled from the hire list, not from a nickname in a chat thread.
- One hero product the person will keep on the desk. A bottle or a notebook usually does this. Do not add pieces only to hit a price.
- Photo of the first finished kit, sent to you before the batch is closed.

The address list

Companies that hire every week do not raise a new order per batch. The stock-and-dispatch model starts with 100 kits held at the workshop. HR sends the hire list, and we dispatch weekly or monthly. Replenishment starts at 50 units.

Money and the calendar
Production starts on a 50% advance. The balance is due before dispatch. The invoice is from Saif Gifting Solutions LLP, GSTIN 29ADYFS6741D1ZE. Orders above ₹50,000 have a dedicated account manager. Samples of a kit are chargeable.
If the same season also needs a hamper, keep it on a separate line. Diwali hampers are priced from ₹904 to ₹6,417 + 18% GST on Diwali hampers. A last pass before you approve
Read the mockup against the hire list, not against the catalogue photo. Check the spelling of the company name, the colour of the logo, and which tier each person receives. If a name is engraved, that list is frozen when you approve. Changes after engraving are a new run, not a quick edit. Keep one person as the approver so production is not waiting on a group thread.
Then confirm delivery. A Monday onboarding batch in Bengaluru needs the same-week dispatch to be realistic, which means approval early in the previous week, not on Friday afternoon. A pan-India list needs the pin codes before the boxes are closed. Write those two checks into the brief and the rest of the checklist holds.
